This Privacy Policy describes how Smargav Solutions Private Limited (“Smargav”, “we”, “our”, or “us”), provider of the FieldX Mobile Device Management platform (“FieldX”, the “Service”), collects, uses, discloses, and protects personal data when customers and users access or use FieldX on Android, Apple (iOS/iPadOS/macOS), and Linux devices, and when they visit our website at https://fieldx.io.

1. Roles and scope

  • Smargav acts primarily as a data processor/service provider when processing personal data on behalf of enterprise customers (for example, your company, school, or organization) that use FieldX to manage their devices.
  • The customer (your employer or organization) is typically the data controller and determines which data are collected via FieldX and how they are used.
  • This policy applies to:
    • Device users whose devices are enrolled into FieldX.
    • Administrative users (e.g., IT admins) who log into the FieldX console.
    • Visitors to our website https://fieldx.io.

Customers should provide their own internal notices to users explaining how they use FieldX and what monitoring or controls are enabled on devices.

2. Information we collect

2.1 Account and contact information (admins)

When administrators create or use a FieldX account, we may collect:

  • Name and contact details (email address, phone number).
  • Organization name, role, and login credentials.
  • Support communications, tickets, and feedback.

2.2 Device and technical information

When an Android, Apple, or Linux device is enrolled and managed via FieldX, the Service may collect device-related and technical data, such as (depending on platform and configuration):

  • Device identifiers (e.g., serial number, IMEI where available, platform-specific IDs).
  • Device type, model, OS version, and configuration.
  • Installed applications (package name, version, and status).

To operate and improve FieldX, we may collect:

  • High-level device event logs (e.g., policy sync, enrollment, unenrollment, command success/failure).
  • Performance and diagnostic data to maintain reliability, security, and uptime.

2.4 Website and cookie data

3. How we use personal data

We use personal data strictly to provide and improve the FieldX Service and to fulfil our contractual and legal obligations, including to:

  • Authenticate and authorize admin users and secure access to the console.
  • Enroll, configure, monitor, and manage Android, Apple, and Linux devices according to customer‑defined policies.
  • Execute admin‑initiated actions, such as app deployment, configuration updates, remote support tools, and security controls.
  • Provide customer support, incident response, and troubleshooting.
  • Monitor, maintain, and improve the stability, performance, and security of FieldX.
  • Generate anonymized or aggregated statistics for capacity planning and service improvements.
  • Comply with applicable laws, regulations, and legal processes.

We do not sell personal data.

4. Legal bases (where applicable)

Where privacy laws such as the EU/UK GDPR apply, Smargav generally processes personal data on the basis of:

  • Performance of a contract with the customer (providing the FieldX Service).
  • Legitimate interests (for security, service improvement, and fraud prevention), balanced against user rights.
  • Compliance with legal obligations.
  • Consent, where required by law (for example, for certain cookies or marketing communications).

In the processor role, Smargav relies on the customer to determine the appropriate legal basis for processing data of device users.

5. How we share information

We may share personal data in the following limited circumstances:

  • With the customer (controller):
    • Admins designated by the customer can view device and user‑related data according to the configuration of the MDM policies.
  • With service providers and subprocessors:
    • Third‑party vendors that provide infrastructure, hosting, analytics, logging, security, support, or related services to operate FieldX.
    • These providers process data only under contract, with confidentiality and security obligations.
  • For legal and security reasons:
    • If required by law, legal process, or government request.
    • To detect, prevent, or address fraud, security, or technical issues.
    • To protect the rights, property, or safety of Smargav, our customers, users, or the public.
  • Business transfers:
    • In connection with a merger, acquisition, restructuring, or sale of assets, personal data may be transferred as part of the transaction, subject to continued protection.

We do not share personal data with third parties for their own marketing purposes.

6. Data location, storage, and security

  • FieldX is hosted on secure cloud infrastructure and/or data centers chosen to provide reliability, performance, and compliance.
  • Data are stored in environments with access controls, logging, and industry‑standard security practices (including encryption in transit and at rest wherever feasible).
  • Access to personal data is restricted to authorized personnel who require it to operate, support, or improve the Service and who are bound by confidentiality obligations.

7. Data retention

  • Smargav retains personal data for as long as necessary to:
    • Provide the FieldX Service to the customer.

  • Upon termination of a customer’s contract, we will delete or anonymize managed data associated with that customer within a reasonable period, subject to technical feasibility and legal requirements.
  • Customers may request earlier deletion or export of their data, to the extent supported by the Service and applicable law.

8. Customer responsibility and device usage

  • Customers control how they use FieldX, including which settings, policies, and monitoring capabilities are enabled on devices.
  • Customers are responsible for:
    • Informing their users (e.g., employees, students) that their devices are managed.
    • Providing appropriate internal privacy notices and obtaining consents if required by local law or policy.
    • Defining and enforcing appropriate use of the Service in their organization.

9. International data transfers

Depending on infrastructure choices and service providers, personal data may be processed and stored in countries other than the one in which the customer or device user is located.

Where required by law, we implement safeguards for cross‑border transfers, such as:

  • Contractual protections (for example, data processing agreements and standard contractual clauses where applicable).
  • Technical measures such as encryption and access controls.

10. Your rights

Depending on your location and applicable law, you may have certain rights regarding your personal data, such as:

Where Smargav acts as a processor, requests concerning device or user data should be directed to the relevant customer (your organization), which is responsible for handling them. Smargav will support the customer in responding to such requests where required by contract and law.

FieldX can be used in environments where minors (such as students) use managed devices. In such cases:

  • The customer (e.g., educational institution) is responsible for ensuring that appropriate consents or authorizations are obtained in accordance with applicable law.
  • Smargav processes student data only as necessary to provide the Service according to the customer’s instructions and agreements.

12. Marketing communications

  • We may send service‑related or transactional communications (such as important updates, security alerts, or billing notices) to admin contacts.
  • We may send marketing communications about FieldX features or related services to business contacts where permitted by law.
  • Recipients can usually unsubscribe from non‑essential marketing communications using the link provided in such messages.

13. Third‑party services and links

FieldX may contain links to third‑party websites, services, or app stores. Those services are governed by their own privacy practices, and this policy does not apply to them. Customers may also integrate FieldX with third‑party tools at their discretion.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in technology, law, or our services. When we make material changes, we will update the “Last updated” date at the top and, where required, provide additional notice.

Continued use of FieldX after such changes constitutes acceptance of the updated policy.
